The reality of consulting life

A few years ago, our consulting team was in an intense growth phase. Project work was running smoothly, the team was well-coordinated. But internally, administrative processes were increasingly causing friction.

Tools that don't work together

We were using a project management tool that was way too comprehensive for our needs. We painfully created offers in Word documents, manually tracked invoice numbers and payments in Excel spreadsheets. Service reports and invoices had to be clumsily exported from different systems. In daily operations, team members often forgot to track their services or accidentally booked to the wrong budget.

Same drama every month

At month-end, we regularly went through a reconstruction phase: What can we actually bill? We sent finished service reports individually via email as PDFs and then had to follow up with customers because the documents first had to be printed out or signed with Adobe Acrobat.

Time we could invest better

The entire process, from order entry through offers, order acceptance, time tracking and travel expenses to sending service reports and billing, wasn't just tedious. It consumed enormous amounts of time and energy. Time we could have invested more meaningfully in our projects. And engagement we would rather have put into our actual work.

A solution just for us

One Saturday during year-end, which I once again spent on administrative tasks, my frustration was so great that I decided: There has to be a better way.

I developed software. Not for the market, but for ourselves. For a small, growing consulting team that didn't need additional tools, but finally a working process. Clear. Integrated. Reliable. We used this system internally for years. It worked so well that we never even thought about sharing it.

Until the day when a fellow consultant asked: "I have exactly the same problems. Where can I find your solution and where can I buy it?"

We're not alone

This brief comment was the trigger to change perspective. We're not the only ones. This exact system is needed as a solution for everyone facing the same challenges. For consultancies that want to grow without getting lost in administration.
